The role

 

There is a new, exciting opportunity for a Bid Coordinator to join Nettitude’s existing Global Bid Team.

This role requires a motivated individual, who will work as part of our Bid Team providing support to our Global Sales Team (currently located in UK, US, Singapore & Athens) by putting together professional, thorough, relevant and compelling responses to Requests for Proposals (RFPs), Invitations to Tender (ITT), Prequalification Questionnaires etc., which have been issued by prospective customers as well as existing clients.

As a Bid Coordinator you must be self motivated as you will be required to own the management of bid responses from start to finish which requires focus and strong coordination skills as you will need to pull together information from various teams across our business.  Training and regular support will be given by other members of the Bid Team but there is also a need to be able to work alone.

You must possess excellent writing skills, with English being your first written language.  This is essential as you will be communicating directly with clients around the world, creating clear and concise responses to RFPs in English on a daily basis.

 

 

Location

 

This role is predominantly remote however, you will be required to work from our UK office in Leamington Spa at least one day a week. 

 

 

What you’ll be doing in your role:

 

  • Support the Head of Bid Management, Bid Team Leader and Bid Coordinator to write and project manage bids, proposals and supplier questionnaires, using Loopio, from beginning to end.
  • Play a supporting role on bid strategy, including attending and organising bid/no bid calls or meetings, agreeing pricing with the sales management team, attending forecast meetings, collating & reporting on bid feedback (including loss data).
  • Co-ordinate all parties involved in the bid process to ensure everyone is aware of the level of contribution expected of them and that deadlines are agreed and diarised, including regular progress calls.
  • Pull together information from the wider Nettitude teams e.g. Technical, Finance, Marketing where required, in order to create a full and complete bid response.
  • Ensure that all bids are tailored/personalised to the prospective client’s requirements and that our proposal follows the same flow (headings, sections etc) as the RFP document provided.
  • Ensure that all proposals are put through a QA process before submission.
  • Ensure that all bids are submitted on time and are as complete and accurate as possible, whilst also best reflecting Nettitude’s services and abilities.
  • All bid documentation must be grammatically correct, clear, concise and compelling with value add information provided and personalised for the client wherever possible.
  • Work with the LRQA legal representative to ensure contracts are reviewed and signed in an efficient and timely manner.
  • Ensure that Nettitude’s CRM system has all the correct Bid Team criteria selected to enable accurate reporting from the Bid Team Dashboard.
  • When a bid has been successful, work closely with the assigned Account Manager, Project Manager and Technical Project Lead to ensure a professional handover to all involved parties.
  • Engage in Bid Discovery activities with the Bid Team by tracking and monitoring new opportunities via portals and tools to seek out new RFPs.
  • Attend calls or meetings with prospective clients as/when required e.g. when shortlisted and requested to present.
  • Undertake any training necessary to carry out duties and responsibilities.
  • Undertake any other duties and responsibilities commensurate with the level and responsibilities of the post.
  • Work in harmony with all other personnel and to communicate in an open and courteous manner with colleagues and customers.
  • Carry out responsibilities in accordance with company policies and procedures.
  • Maintaining and organising material in Loopio and the Bid Management Drive for future use, ensuring that all content remains up to date and accurate.

 

 

Key Skills:

 

The following are the requirements for this role:

 

  • A degree in English language or similar would be an advantage but not essential as strong written and speaking English skills are required.
  • Experience of working with Microsoft Office, Excel, Word, Powerpoint and Adobe.
  • Nettitude uses a Bid Management tool called Loopio.  Full training will be given on how to use it.
  • Ability to work to deadlines.
  • Ability to multi-task as we are often working on more than one bid at a time.
  • Ability to work independently as well as part of a team.
  • Able to coordinate a customer response in a timely manner.
  • Capable of building rapport with customers and colleagues alike.
  • Maintain a consistent and professional manner at all times.
