About the Role:

We are seeking a methodical and detail-oriented Event Administrator to join our dynamic Marketing Operations team. Based in Mumbai, this fixed-term role will support the planning and execution of global events in a fast-paced, international environment. You will collaborate with colleagues and suppliers across the globe to ensure seamless delivery of event activities ranging from exhibitions to sponsorship activations.

The Role 

Global event coordination 

  • Support the planning and execution of events globally 
  • Organise exhibition stands, manage exhibitor passes, and coordinate colleague participation 
  • Oversee logistics for physical event assets and ensure timely delivery onsite 
  • Coordinate all sponsorship activities including physical branding assets, digital profiles and promotional materials 

Event reporting  

  • Assist in post-event reporting, including gathering and analysing feedback, tracking key data and metrics, and facilitating debrief meetings with internal stakeholders 

Guest communication  

  • Manage invitation creation, distribution and RSVP tracking 
  • Coordinate with internal stakeholders to ensure accurate and timely messaging and invitation distribution 

Budget tracking  

  • Track event budgets, monitor expenditures 
  • Raise purchase orders and liaise with account team  

Supplier engagement 

  • Collaborate with external suppliers including caterers, stand builders, and graphic designers 
  • Source new suppliers when required and manage ongoing relationships 

Digital platforms and content support  

  • Update event webpages and registration platforms 
  • Maintain the global event programme tracker and project management software  

Travel 

  • Some domestic and occasional international travel to support even delivery may be required 

 

About you: 

  • Strong organisational and project management skills 
  • Process-driven with a keen eye for detail 
  • Comfortable managing multiple tasks in a deadline-driven environment 
  • Excellent communication and interpersonal skills 
  • Ability to work independently and collaboratively with international teams 
  • Previous experience in events, marketing, or a related field is preferred 

 

What you bring

  • 2 - 4 years of experience in event planning and delivery
  • Prior experience working with global teams across multiple time zones 
  • Proficiency in Microsoft platforms, particularly Excel and Microsoft Forms; familiarity with project management tools such as Asana and CRM systems like Salesforce is desirable
  • Background in the maritime industry is preferred but not required
  • Fluency in English, both written and spoken, is essential
