What we’re looking for 

The Service Delivery Technical Assistant role is based in Germany. As a key support member, you will provide essential administrative assistance, following defined procedures while exercising discretion in workload priorities. The position involves diverse administrative tasks, contributing to the smooth functioning of service delivery. Handling queries for both internal and external clients, you'll play a pivotal role in maintaining operational efficiency. If you possess strong organisational skills, attention to detail, and a problem-solving mindset, this role provides a dynamic environment to showcase your administrative expertise during this fixed term assignment.

As an international organisation, you will have good proficiency in the English language commensurate with the work.

This role requires work authorisation for the respective country.

The role 

  • Administrative support for Marine Equipment and Components -Jobs, vessel and audit planning/arrangement for GermanPorts and MMS services (ISM/ISPS/MLC)
  • Meeting customer expectations and LR internal requirements such as GMS/ MMS procedures, MMSO-NE governance, MMS applications (CMD/ Monitor/data)
  • Cooperation and communication with clients and colleagues from other offices (by phone / per email)
  • Acting as CFO and SDO, incl. survey arrangements and reporting (arranging audits, surveys and MEC-Jobs locally and worldwide for local clients)
  • Tracking of documents incl. correspondence with (German) flag administration.
  • Close cooperation with responsible Area-Managers, team leads and (SDTA) colleagues on work packages and alignment of processes for mutual support and knowledge exchange
  • Working with our internal SAP Business by Design (ByD) for setting up the contracts and Service Orders (SvO) and follow the invoicing process
  • General Work with internal systems: MAST, DWB, etc. if necessary
  • General Office Work (switchboard, post, etc.)
  • Other tasks related to SD support maybe added as the role develops

 

What you bring 

  • Professional administrative education or equivalent
  • Previous experience in an administrative support role, good understanding of Service Delivery processes
  • Excellent cooperation and communication skills with own team and with other internal and external stakeholders
  • Strong customer orientation. Responsive and pro-active.
  • PC-literate; MS Office, SharePoint
  • Structured and well-organised working style, attention to detail and data correctness
  • Proficiency in the English and German language (spoken and written)
