The role
- Coordinate ship/office Marine Management Systems (MMS)/ISO audits by collaborating with auditors/inspectors.
- Assist the MMS Specialist in ensuring adherence to MMS procedures, contributing to the follow-up, review, and effective monitoring of corrective actions, and maintaining relevant records.
- Support MMS Auditors/Inspectors in monitoring training and activity-related processes.
- Provide technical support to various teams including MMS, SD (Service Delivery), SDS (Service Delivery Support), and BD (Business Development) as needed.
- Manage the analysis of both internal and external complaints to enhance performance, identify trends, and propose actions to meet or exceed business plan targets.
- Prioritize and handle documentation, data, and information in accordance with business requirements and agreed-upon deadlines.
- Execute data filing and entry tasks following established procedures.
- Address inquiries and establish relationships with both internal and external clients, as appropriate.
- When necessary, coach other team members to facilitate effective knowledge transfer and application.
- Conduct all activities in accordance with internal procedures, contractual requirements, cost structures, and budget constraints.
- Identify opportunities for improvements in administration processes and procedures, and assist Coordinators/managers in implementing new administrative protocols within the team.
- Ensure that documentation, data, information, and tasks relevant to the individual are planned, evaluated, and processed in alignment with local business requirements and specified deadlines.
- Review and analyze data to generate management information and statistics, including the identification and reporting of process failures, to enhance overall process efficiency.
- Address complex queries and build relationships with both internal and external clients, particularly in resolving service-related issues.
What you bring
- Exceptional organizational skills, adept at devising structured plans, prioritizing tasks, and efficiently managing time to meet deadlines and achieve targets.
- Proficiency in the English language at a level appropriate for the scope of work.
- A preference for candidates with a degree in business administration, coupled with relevant work experience.
- Demonstrates a keen ability to identify obstacles to success and takes proactive measures to minimize them.
- Possesses experience in handling complex, technical information.
- Exhibits a strong drive, enthusiasm, and a positive work attitude, maintaining composure even in high-pressure situations.
- Appreciates the nuances of management systems and their practical applications in the business context.
- Possesses knowledge of MMS products, processes, and procedures.
- Capable of effectively managing competing priorities and tasks to determine the optimal path forward.
- Proficient in correspondence control, encompassing the creation and maintenance of databases for ISM/ISPS/MLC.
- Skilled in generating job notes and coordinating with both internal and external clients, conducting basic report and certificate checks, and handling PR18/36 document transfers.
- Readily tackles any ad hoc tasks assigned by the line manager.
