What we’re looking for 
 

We have an exciting opportunity for a Grants Administrator to support the operation of our grants department, ensuring efficient operation of processes, management of records, communication and compliance with internal procedures.  Undertake a wide range of administrative activities and resolve simple queries.

 

The role will sit within our Grants Management Team reporting to the Grants Manager and will work alongside all Foundation staff - the CEO, directors and programmes team who lead on developing and managing our grants portfolio, admin and support staff, the Heritage and Education Centre team, as well as colleagues from Lloyd’s Register Group.

The role 

 

  • Take ownership of simple grant related enquiries, by email, phone and letter, resolving or escalating as appropriate and keep records as required
  • Keep contacts in our grants management system up to date, acting swiftly on notification of a change in personnel, ensuring that new contacts register and encouraging grant holders to update relevant information at the earliest point
  • Process grant applications to first review stage using our grants management system
  • Routinely check for upcoming monitoring reports and remind grant holders using our grants management system
  • Produce simple grants exports for colleagues across the Foundation using the grants management portal
  • Collate and distribute documents for governance meetings
  • Co-ordinate training on Flexigrant for new staff members
  • Schedule grants governance meetings in liaison with the Grants Co-Ordinator including room bookings and catering
  • Maintain an effective electronic filing system to ensure that all relevant records are readily and easily available
  • Upload approved grant information to the grant management portal and 360 giving
  • Ability to cover aspects of the Grant Co-Ordinator role during absence periods
  • Any other relevant tasks when necessary, directed by the Grants Manager/Grants Co-ordinator or any other Foundation colleagues

  • Excellent communication skills
  • Ability to manage multiple tasks and meet deadlines with the flexibility to handle competing demands or changing priorities
  • Approachable, with the ability to work with colleagues at all levels and able to build positive relationships with all our stakeholders
  • Prior experience in grants administration and database management, a degree or business qualification (Desirable)
