What we’re looking for 

As part of this role, you will play a critical role in supporting the Vessel Operations Centre (VOC), operating 24/7/365, by assisting Vessel Operations team with essential daily operational tasks. This includes data entry, validation, analysis, and reporting, ensuring smooth and efficient vessel operations. The Executive will leverage advanced computer tools like Power BI and Excel to support data-driven decision-making and maintain high data accuracy.

   The role 

  • Monitor Communications: Track and manage incoming and outgoing communication through the company’s common mailing tool (SALES FORCE), ensuring that key information is shared with the Route Advisors and relevant team members in a timely manner.
  • Data Validation & Analysis: Conduct regular data validations to ensure the accuracy and integrity of information. Analyse data to identify discrepancies and recommend/effect corrective actions where necessary.
  • Data Entry Support: Assist in the data entry needs of the VOC as required, ensuring all data is entered into the system accurately and efficiently.
  • Routine Office Administration: Provide general administrative support, including filing, organizing documents, and assisting with daily office tasks to ensure smooth operations.
  • Collaboration & Process Improvement: Contribute to team success by maintaining a high standard of professional work, collaborating with colleagues across departments, and offering input to improve workflows and processes.
  •  Reporting & Analytics: Utilize advanced tools such as Power BI and Excel to generate reports, analyse trends, and present data-driven insights to assist in decision-making.

 

 

 

What you bring 

  • Graduation from a recognised institution.
  • Proficiency in Excel (Advanced): Strong ability to use advanced Excel features such as pivot tables, VLOOKUP, macros, and data visualization for analysis and reporting.
  • Experience with Power BI: Ability to create dashboards, reports, and analyse data within Power BI for visual representation of key metrics.
  • Data Entry & Accuracy: High attention to detail with a strong focus on maintaining data accuracy during entry and validation processes.
  • Analytical Skills: Ability to analyse and interpret data, identify trends or issues, and make recommendations based on findings.
  • Communication Skills: Excellent written and verbal communication skills to ensure smooth information flow with Route Advisors and other teams.
  • Teamwork & Collaboration: Ability to work collaboratively with different teams, contributing to a positive work environment and ensuring departmental success.
  • Organization & Time Management: Strong organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
